How Flowseidon Works

A step-by-step guide to setting up and managing your email sequences with Flowseidon

Step 1

Connect Your Gmail Account

Flowseidon uses your Gmail account to send personalized emails on your behalf. Your first step is connecting your Gmail account securely through OAuth.

  • Sign in to your Flowseidon account
  • Go to Account Settings and click "Connect Gmail"
  • Follow Google's secure authentication process
  • Grant necessary permissions for sending emails

Note: Flowseidon never stores your password. We use OAuth to securely access your Gmail with limited permissions that you can revoke anytime.

Step 2

Create Your First Flow

A flow is a sequence of email steps that guide your contacts through a journey. Creating a flow is simple:

  • From your dashboard, click "Create New Flow"
  • Name your flow and add a description
  • Design your flow by adding email and delay steps
  • For each email step, write compelling subject lines and content
  • Set delays between emails to create a natural cadence

Set Up Trigger Webhooks

Triggers automatically add contacts to your flow. Flowseidon provides webhook URLs that you can integrate with your website, CRM, or other tools.

  • Go to your flow and select "Manage Triggers"
  • Create a new webhook trigger with a descriptive name
  • Copy the generated webhook URL and authentication key
  • Integrate this webhook with your form, website, or CRM
  • Test your webhook to ensure it's working properly

Example: When someone signs up on your landing page, they can be automatically added to your welcome sequence.

Step 4

Manage Your Participants

You can manually add participants to your flow or let webhook triggers do it automatically. From the participants tab, you can:

  • View all participants in your flow
  • Check their current status (active, completed, etc.)
  • Monitor which emails they've received, opened, and clicked
  • Add new participants manually when needed
  • Remove participants or change their status

Pro tip: You can import participants in bulk using a CSV file for faster setup.

Track Performance Analytics

Flowseidon provides detailed analytics to help you understand how your email sequences are performing:

  • View open rates and click-through rates for each email
  • Track participant progress through your flow
  • Identify which email steps are most effective
  • Monitor overall flow completion rates
  • Export data for deeper analysis

How Emails Are Processed

Understanding the journey of an email from creation to delivery

1. Email Creation

When a participant enters your flow, Flowseidon schedules the email steps according to your defined delays. Each email is personalized with the participant's information.

2. Sending Process

At the scheduled time, Flowseidon uses your connected Gmail account to send the email. The system adds tracking codes to monitor opens and clicks while preserving the natural look of your emails.

3. Tracking & Analytics

As recipients interact with your emails, Flowseidon records opens, clicks, and other engagement metrics. This data is displayed in real-time on your analytics dashboard.

Technical Details

Email Delivery: Flowseidon sends emails through your own Gmail account using OAuth2 authentication, ensuring high deliverability rates and keeping your sending reputation intact.

Tracking Method: Opens are tracked using a small, invisible pixel, while clicks are monitored through secure redirect links. All tracking is GDPR-compliant.

Data Storage: Your email content and participant data are securely stored in our database. Email sending history is maintained for analytics but can be deleted at any time.

Security: All webhook endpoints are secured with authentication keys. Your Gmail connection uses OAuth tokens which can be revoked at any time from your Google account.

Frequently Asked Questions

Are there limits to how many emails I can send?

Flowseidon uses your Gmail account, so the limits are based on Google's sending limits (currently 500 emails per day for regular Gmail accounts, 2,000 for Google Workspace).

Can recipients see that the emails are tracked?

No, our tracking is discreet. Recipients see emails that appear to come directly from your Gmail account with no visible tracking elements or Flowseidon branding.

What happens if I disconnect my Gmail account?

If you disconnect your Gmail account, scheduled emails will be paused. You can reconnect at any time to resume sending. Your flows and participant data remain intact.

Can I personalize emails with participant data?

Yes! You can use variables like {{ firstName }}, {{ company }}, etc. in your email content. These will be automatically replaced with each participant's specific information when emails are sent.
